IAN 2023-14: NEXDOC Eggs – Transition period between EXDOC and NEXDOC and registration reminder

Purpose

This Industry Advice Notice (IAN) is to notify stakeholders that the Next Export Documentation (NEXDOC) system will replace the Export Documentation (EXDOC) system for eggs from Monday 4 December 2023. This will also require registering for NEXDOC.

Key points

The department is rolling out the NEXDOC system, which is a web-based export documentation system with enhanced features and improved user experience. This system will replace the current EXDOC system in a staged approach.

NEXDOC will bring changes to terminology, certification and new functionality that will further support industry.

Transition period

Exporters will need to lodge all new export documentation in NEXDOC from Monday 4 December 2023.

Exporters and EDI users that have egg RFPs at INIT, FINL, INSP or HCRD status on Sunday 3 December, have until 5.00pm Sunday 14 January 2024 to get egg RFPs finalised—that is to get their RFPs to COMP and print their certificates.

From 5.00pm Sunday 14 January 2024, when EXDOC functionality for eggs will be switched off:

  • any egg RFPs not at COMP will have to be submitted as new requests in NEXDOC.
  • exporters requiring replacements of certificates that were issued in EXDOC should contact EXDOC.helpdesk@aff.gov.au.

Automated export permit issuers

If you are an existing authorised AQA user in EXDOC, when you register as a client group or exporter in NEXDOC, you will need to apply for the permission as an approved export permit issuer (AEPI) for NEXDOC.

If you would like to become an AEPI in NEXDOC, you will need to register as a client group or exporter and in addition, register as an AEPI.

Software users

  • The department continues to work with software providers in preparation for 4 December go-live and rollout of NEXDOC for eggs.
  • It is important that you also work closely with your software provider to ensure that your system needs are met, and you are well positioned to commence using NEXDOC for eggs on 4 December 2023.

Registration reminder

If you are using third party software, please ensure you discuss the transition from EXDOC to NEXDOC with your software provider.

The NEXDOC online services portal will also go live on Monday 4 December, which provides an option for exporters to lodge REXs directly with the department.

Benefits of using NEXDOC via third party software or the department's portal include the ability to:

  • lodge a request for export (REX) (previously known as a request for permit (RFP).
  • Add supporting documentation.
  • amend their REX.
  • preview a certificate prior to printing.
  • request replacement certificates.
  • egg certificates will be printed on plain (white A4) paper and security paper will no longer be required (from NEXDOC only).
  • generate export certification with a unique QR code as well as the certificate number to improve security.
  • use the enhanced search filter function including departure date and destination country.
  • transfer your Exporter Declaration Numbers (EDN) without assistance from the department.
  • liaise with the department directly through (via the portal).

Please note, if you are using the NEXDOC portal, you will need to use Google Chrome or Edge browsers. Internet Explorer will not support the NEXDOC system.

You will need to register to use NEXDOC using one of the options available on our website.

Exporter responsibilities

Please ensure you register for NEXDOC and note the transition period.
