Document Assessment Outside Business Hours Transition to New Process & Correct Application Procedure

As previously communicated in our member notice dated April 2, 2024, the Department of Agriculture, Fisheries and Forestry (DAFF) has initiated the implementation of a new process, effective April 8, 2024, facilitating document assessment requests outside of standard business hours.

Today, representatives from Freight & Trade Alliance (FTA) met with DAFF executives to obtain an update on the adoption of this significant process enhancement.

While there has been a notable increase in uptake, a considerable number of members are still utilising the outdated form.

To fully realise the benefits of the automation embedded in this process, it is imperative that all applications are submitted in the new format and accurately completed.

All members will benefit from increased uptake of this method. DAFF is currently allocating substantial resources, equivalent to 4 full-time employees, to manually complete applications and provide support and education to industry.

Feedback from DAFF indicates that a substantial number of applications have not been completed utilising Adobe, as required, but rather directly through the web form.

Please be reminded that completing the web form directly is not the correct procedure. Adobe Acrobat must be utilized, as outlined HERE.

The form explicitly states:

"You need the latest version of Adobe Acrobat Reader to save changes and submit."

To ensure seamless processing of your applications, please download the Adobe Acrobat Reader mobile app from your preferred app store or via https://get.adobe.com/reader/.

Additionally, DAFF has provided the following FAQ to assist members in completing applications correctly.

Common errors observed include:

  • Incorrectly entering the current time rather than the date and time of the desired out-of-hours inspection.
  • Sending emails with attachments.
  • Failure to complete all required fields.
